Mind Game Baseball Academy
1. Introduction
This Privacy Policy describes how Mind Game Baseball Academy ("MGBA," "we," "us," or "our") collects, uses, discloses, and protects information in connection with the website located at mindgamebaseball.com, our related registration, booking, and payment systems, and any other services we offer (collectively, the "Services").
MGBA is a baseball player development organization based in North Augusta, South Carolina, serving the Central Savannah River Area (CSRA) across South Carolina and Georgia. The Services include individual baseball lessons, Saturday development camps, a community baseball league, a developmental travel team, and related coach and player registration, scheduling, and payment functionality.
By creating an account, registering a player or coach, or otherwise using the Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Services.
Our Commitment
We protect the information entrusted to us to the fullest extent reasonably possible. We do not sell personal information. We do not rent, trade, or distribute personal information to any third party for that third party's own independent use. We share information only with the specific service providers described in this Policy, and only as necessary to operate MGBA's lessons, camps, league, and travel team programs — never beyond that scope.
2. Information We Collect
2.1 Information You Provide to Us
We collect information you provide directly when you:
- Create a player or coach account (name, email address, password, phone number, city/state of residence)
- Register a player, including a minor child, for lessons, camps, the community league, or the travel team (player first and last name, date of birth, primary and secondary playing position, jersey size, prior league/team history, skill goals, and similar player-specific information)
- Provide parent or guardian contact information for a minor player (parent/guardian full name, email address, phone number, and emergency contact name and phone number)
- Apply to become an MGBA-approved coach (coaching background, years of experience, certifications, specialties, age groups served, playing background, and a statement of interest in joining MGBA)
- Complete a coach profile, including a public-facing biography, coaching philosophy, working city/location, and lesson rates by age group and session length
- Submit an interest form for the 2027 community league, the travel team, lessons, or camps prior to creating a full account
- Communicate with us by email, including messages sent to hello@mindgamebaseball.com or to the Academy Director
- Voluntarily provide optional, non-essential information through registration forms, such as a player's favorite MLB player, walk-up song, favorite sports drink, or season goals ("player profile extras"), used only to personalize the player experience and dashboard
2.2 Payment Information
MGBA uses Stripe, Inc. ("Stripe") to process all payments, including lesson bookings, camp registrations, league and travel team fees, and coach payouts. When you make a payment, your payment card information is collected and processed directly by Stripe and is not stored on MGBA's servers. MGBA receives only limited transaction information from Stripe necessary to confirm and record a booking, such as the payment amount, payment status, and a Stripe-generated transaction identifier.
Coaches who wish to receive lesson payments must complete onboarding with Stripe Connect, which requires the coach to provide identity verification, banking, and tax information directly to Stripe. MGBA does not collect or store coach banking details; this information is collected and held by Stripe as an independent data controller/processor subject to Stripe's own privacy policy, available at stripe.com/privacy.
2.3 Information Collected Automatically
When you use the Services, we and our service providers may automatically collect:
- Log and usage data (pages visited, features used, dates and times of access)
- Device and browser information (browser type, operating system, screen size)
- Approximate location information inferred from IP address, used to support location-relevant content (for example, identifying nearby coaches or service area pages)
- Cookies and similar technologies used to maintain login sessions and platform functionality. MGBA does not currently use cookies for third-party advertising or cross-site tracking.
2.4 Information from Third Parties
We may receive limited information from third-party services that integrate with the platform, including:
- Stripe (payment status and Stripe Connect account onboarding status)
- Resend, our email delivery provider, which processes email delivery, open, and bounce metadata for transactional emails sent from updates.mindgamebaseball.com
- Supabase, our authentication and database infrastructure provider, which stores account credentials (in hashed form) and the data described in this Policy
- Background check service providers, if and when MGBA engages a third-party consumer reporting agency to conduct background checks on prospective coaches
3. Children's Privacy and Parental Consent
MGBA's Services are directed in substantial part toward the registration of youth baseball players, the majority of whom are under the age of 13. We are committed to protecting children's privacy and complying with the Children's Online Privacy Protection Act (COPPA) and comparable state requirements.
- The Services are not designed for use by children under the age of 18 without parental involvement. Minor players do not create accounts, log in, or otherwise directly access or interact with the Services. A parent or legal guardian (the "Account Holder") creates accounts for minor players, holds login credentials, and enters their information. Players who are 18 years of age or older may create their own account, hold login credentials, access the Services, and enter their own information.
- Because all information about a minor player is entered into the Services exclusively by the parent or legal guardian, and not by the child, MGBA does not knowingly or directly collect personal information from children online.
- A parent or guardian must provide verifiable consent before a minor's player profile is created, in the manner required by applicable law. Creating a player profile and submitting registration information is itself the mechanism by which a parent or guardian provides this consent.
- Information collected about a minor player is used solely to facilitate registration, scheduling, coach matching, payment processing, league/team administration, and related communications. It is not used for behavioral advertising directed at the child, and it is not sold, rented, or distributed to any third party for any purpose outside the scope of operating MGBA's programs.
- A parent or guardian may review, correct, or request deletion of their child's information at any time by contacting hello@mindgamebaseball.com.
4. How We Use Information
We use the information described above to:
- Create and administer player and coach accounts and profiles
- Match players with MGBA-approved coaches based on location, age group, and specialty
- Process lesson, camp, league, and travel team bookings and payments
- Communicate with Account Holders regarding registration status, booking confirmations, scheduling changes, and program updates, including transactional emails sent from hello@updates.mindgamebaseball.com: registration confirmations, coach/director notifications, a one-time "what's next" follow-up email sent approximately 24 hours after registration (delivered only between 8:00 a.m. and 8:00 p.m. Eastern Time), lesson and camp reminders, and coach approval notifications
- Conduct or facilitate background checks on prospective coaches prior to approving them to provide lessons or coach in the community league
- Maintain the security and integrity of the Services, including detecting and preventing duplicate or fraudulent registrations
- Operate the public-facing coach directory and individual coach profile pages, which display coach name, city, specialties, age groups served, and lesson rate ranges (player and parent information is never displayed publicly)
- Comply with legal obligations, including tax reporting obligations related to coach payments processed through Stripe Connect
5. How We Share Information
We do not sell, rent, or trade personal information to any third party, under any circumstances. We do not distribute information beyond the scope of operating MGBA's lessons, camps, league, and travel team programs. We share information only as described below:
5.1 With Coaches
When a player books a lesson with a specific coach, that coach receives the information reasonably necessary to provide the lesson, including the player's name, age group, relevant notes provided at booking, and the parent/guardian contact information associated with the player's account.
5.2 With Service Providers
We share information with third-party service providers who perform services on our behalf:
- Stripe, Inc. — payment processing and coach payouts (stripe.com/privacy)
- Supabase, Inc. — database hosting, authentication, and file storage
- Resend — transactional email delivery
- Vercel Inc. — website hosting and infrastructure
- A background check provider, once engaged, solely for coach background screening
5.3 Within MGBA
Information submitted by a coach during registration is reviewed by the MGBA Academy Director as part of the coach approval process. A coach's playing background, coaching experience, and stated reasons for joining MGBA are visible to the Academy Director only and are never displayed on the coach's public profile.
5.4 Legal Requirements and Safety
We may disclose information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is reasonably necessary to protect the rights, property, or safety of MGBA, our users, or the public — including in connection with concerns regarding the safety of a minor.
5.5 Business Transfers
If MGBA is involved in a merger, acquisition, financing, or sale of business assets, information may be transferred as part of that transaction, subject to standard confidentiality protections.
6. Data Retention
We retain personal information for as long as an account remains active and for a reasonable period thereafter to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements.
- Interest form submissions that do not convert to a full registration are retained to allow MGBA to follow up, and are merged with the corresponding account record if the individual completes registration, to avoid duplicate contact
- Booking and payment records are retained for the period required for tax and financial reporting purposes
- Background check results, once a vendor is engaged, will be retained per that vendor's policies and applicable consumer reporting law
- A parent or guardian may request deletion of a minor's account and associated data at any time, subject to limited records we are required to retain for legal or financial compliance
7. Data Security
We implement reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction, including encrypted data transmission (HTTPS/TLS), role-based access controls within our database (including row-level security policies restricting coach and player data to authorized parties), and reliance on payment processing infrastructure (Stripe) that maintains its own PCI-DSS compliance for cardholder data.
No method of electronic transmission or storage is completely secure. While we strive to protect personal information, we cannot guarantee absolute security.
8. Your Rights and Choices
You may have rights regarding your personal information, including the right to request access to, correction of, or deletion of your information, and the right to opt out of certain communications. Contact us at hello@mindgamebaseball.com to exercise these rights.
You may unsubscribe from non-essential promotional communications at any time using the link in those emails. You cannot opt out of essential transactional communications related to an active booking, registration, or payment while you maintain an active account.
9. Public Coach Profiles
Coaches approved by MGBA to provide individual lessons have a public-facing profile page accessible to anyone visiting the Services, which may include the coach's name, photograph, city/working location, specialties, age groups served, biography, and lesson rate ranges. A coach's private application information is visible only to the Academy Director and never displayed publicly.
10. Children Under 13 and Direct Marketing
MGBA does not engage in targeted advertising to children, does not use information collected about minor players for behavioral advertising, and does not knowingly sell or share minors' information with third parties for marketing purposes.
11. Third-Party Links
The Services may contain links to third-party websites, including high school athletics pages and recreation department pages. This Privacy Policy does not apply to those third-party sites.
12. International Users
The Services are intended for use by individuals located in the United States, specifically within the Central Savannah River Area of South Carolina and Georgia.
13. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Services or by email prior to the change taking effect.
